We had Futuristic Digital process and scan our medical records that were sitting in storage. This was going to continue costing money and there was no benefit to keeping them there long term. Now our files are named correctly, safely on our network, easy to find and the ongoing storage cost has been removed. We also have instant access to these records if we need them, whereas in the past we had to apply to have them removed from storage and wait for them to arrive before we could access them. Godbee Electrical - Business Advice and Solution
The Problem, Steve Godbee (Director) of Godbee Electrical needed to be able to produce hardcopy documents remotely including work method statements, take 5's, WHS procedures, invoices and more. Tradesmen were regularly returning to base and wasting large amounts of productive time on printing these documents, only to return to site where they would provide this information to a project manager. Steve was looking for a solution and reached out to Nick about what could be done. The Solution, Over a discussion a plan was devised to utilise the existing OneDrive platform within their Microsoft Office 365 subscription. This cloud hosted platform was a perfect and readily available environment primed to distribute information to staff securely but without allowing them the ability to accidentally change business critical information and documents. The added bonus was that staff could also set this up on existing hardware like a smartphone or tablet by simply downloading the app. the only remaining thing was how to get the project manager a hard copy. The Outcome, Steve went with nicks recommendation to use office 365 and its OneDrive platform, he also implemented a HP Mobile printer to each of his Tradesmans work vans, allowing staff to print directly to it from their smart devices without any network present or physical connection. The Result, staff no longer need to waste valuable hours on a seemingly menial task, Steve can now be more competitive when tendering for work knowing less hours will be wasted doing the job, and his contractors get what they want when they want it. The Problem, an office with limited desk space, busy admin staff, busy Pediatric staff, a dual use phone line for HICAPS and faxing causing connection issues, chasing ink cartridges down the street, a struggle to find the right IT advice, and everyone leaning over each other to get access to a printer positioned in a most inconvenient spot. The Solution, a review of how the office was working unveiled that with the shear volume of work and patients coming and going each day, a second system with copy print scan and fax capability in a side room for Pediatric staff to access would be a better fit. This would provide a better workflow in the office taking medical staff away for disturbing admin staff, allowing the incoming faxes to be received away from the front desk & scanning to be completed in private away from the public eye. The Outcome, DMP went with Nicks recommendation for a manged print service which included everything for a single monthly cost, A HP Page-wide Pro 577dw Multifunction system featuring amazing cost efficiency and huge advancement in technology capability. To complement this a second managed system was installed to the front desk for invoice and receipt printing. During installation we were also able to resolve an issue with the HICAPS system providing even move benefit. The Result, DMP can now deal with Patients more efficiently, Staff no longer scramble over each other with each department now using specific systems, faxes are received in another room, scanning is far superior and the consumables are delivered to the door. Adding to this, a little bit of IT know how assisted to resolve that pesky problem with the HICAPS that had been creating issues for staff and customers. A WIN WIN WIN for everyone. |
MCG Quantity Surveyors - improving professionalism
The Problem, Depreciation Schedule experts, MCG Quantity Surveyors are a rapidly growing organisation likely to make the BRW top 100 fastest growing Australian companies in 2018. With over a dozen admin staff in their Charlestown office and field staff located around Australia they had outgrown their small but cheap to buy Epson inkjet. Although not heavy paper users the business needed to produce quality colour presentations and scan documents efficiently to their network. They also did not want the hassle of dealing with service issues or staff chasing consumables to keep the machine running. The Solution, Nick conducted a survey to uncover the needs of MCG. he then presented Mike and Marty with a recommendation for a managed print service which provisioned a single monthly cost for their entire print environment. A smart work HP Enterprise grade Multifunction system was implemented and the rest is history. The Result, high quality on demand colour printing allowed a reduction in outsourced collateral's and for the company to present itself in a more professional manner.
