What are the benefits ?
Lower overheads and faster access to information.
Staff can access electronic documents at the click of a mouse, and much more quickly than documents on paper, they can respond to customer questions more efficiently or make any necessary changes to documents. This makes your business more agile in resolving things quickly and simply and allows your staff to get more done during the day. You are also providing a far superior service to your customers.
Free up space.
Office space is expensive, how much rent do you pay per m2. Digitising allows you to minimize the requirement for filing cabinets, compactuses, cadenza’s and bulky storage furniture! This space can house more staff & mitigate the need to relocate as you grow. Or, downsize and save on rent.
Information Security, Accessibility and ease of sharing for your mobile workforce.
Digitised documents are easier to protect and can be backed up. They are also secure in your IT environment with access controlled by IT security permissions. This significantly reduces risk of IP (intellectual property) theft and loss. Files can be sent, shared and retrieved in seconds not minutes and hours and mobile staff can use cloud technology (OneDrive, GoogleDrive, Dropbox etc.) or remote access to work with documents from anywhere at any time.
Improved efficiency and easily scalable for growth.
Digital archives allow unmatched potential for storage capacity. Once converted, you only need to keep the newly accrued information up to date once your systems and processes are in place. Or you may want to go completely paperless it’s up to you. What we do know is that you will simply “get more done” with the same number of staff.
Whats our approach ?
1. Monthly Collection of 1-20 Archive Boxes
Each month your firm will close/archive numerous matters. These go into boxes and end up in storage often costing up to $70 per file to store for 7 years at a facility like FileMan, Grace or Kennards.
Our service allows for as little as one box. This enables you to keep on top of documentation as its ready to archive.
2. Digital Conversion Projects of 20-1000's of Archive Boxes
Wanting to digitise your business?
We cater for an all at once approach 'or' bite size chunks to suit your cashflow and timeframes.
With large jobs we also tailor pricing based on several variables allowing for reduced unit costs dependent on the scale and complexity of the project.
Conveyancing and Legal
& Professional Services
With contracts and documents still requiring an “inked copy” firms accumulate boxes full of files very quickly. Our Scan services provides for a digitisation project to bring you up to speed then an ongoing scan service periodically as you continue to close files.
Medical – My Health Record https://www.myhealthrecord.gov.au/
Patient records conversion for the new My Health Record.. By October 15th 2018 all Australian Citizens will have one, unless they actively decline this initiative. The my health record initiative provides the opportunity to upload files, meaning you can save on storage space, and not have to be responsible for archive files once they are hosted by the Governments secure portal.
So, what is the cost ?
Great question. The cost to process files could be anywhere from $100 - $300 or more per archive box. We simply don’t know until we collect a sample to test out how much handing is required and how long your files take to process.
The good news is, that we consult with you to determine the scope of your project and will come back to you with our recommendations, budgets and business cost comparison.
When should you contact us ?
If you have a scanning job that needs doing, we would suggest having a chat with us before touching anything to understand the process and what will work best for you.
It may be that even trying to sort through files is just a big waste of time and that “scanning everything” is more cost effective.
